If you sign up for any sessions that are not closed to new applicants, please take it that you have been accepted; your email from Swim-Meet is your acceptance. The Meet Officials' Manual will be sent to you shortly before the meet. We are aware that many email systems send emails into Spam if they come from large lists with attachments, so, if you seem not to have received the Manual within a few days of the event, please look into your Spam folder. Links to the Officials' Manuals will also be published on the Meet web page listed on the sign-up page.

When you save your information in Swim-Meet, it will show a screen confirming what you have entered; if that new screen does not appear, you have probably not pressed ‘Save’. You should, almost immediately, also receive an email from Swim-Meet confirming your entry. If you do not receive that, it means you either entered your email incorrectly or it went into Spam. If it is not in Spam, please go back into Swim-Meet and re-enter the information correctly, remembering to input ALL your availability again. . If you later need to check your entry, you can go back into Swim-Meet and request it to resend you the email. If you need to change your availability, you will need to re-enter ALL the sessions you are able to do. If, at that time, sessions are closed to new applicants, you can still enter them provided you had previously volunteered for them. If you have to withdraw from sessions near the time, it would be helpful if you would also email me at rgprior@rgprior.com.

If you have a problem that makes fulfilling any particular roles on poolsidedifficult, please note them in the remarks section.

We hope to standardise on black full length, three-quarter length trousers or knee-length skirts and black shoes for officials from now on. If possible, please do not wear shorts, short skirts or clothes with adornments. If that is a problem for you, please wear clothes as near to these guidelines as possible. We will continue to provide white polo shirts for officials, but our recent expenditure on these has been astronomical. Please re-use shirts you already have and do not take new shirts unnecessarily.

Officials Sign-Up

The Swim-Meet Officials' Sign-Up software allows club officials' coordinators to distribute a sign-up web address to potential officials.

Officials tick their available sessions, enter their details and any special requests such as mentoring for the next level.

The coordinator and official receives an email when officials sign up. The coordinator, lead referee, meet organiser and club chairman can see the live sign-up rate and any gaps are highlighted.

The coordinator can add the lead referee as an administrator to assign jobs to officials. Configure which jobs you want to fill depending upon long or short course and level of meet.

The job schedule along with the officials' qualification and membership number can be exported to Excel with a tab for each session to produce the tick sheet on the day and the meet report.

It is GDPR compliant. The Swim-Meet privacy policy is here. Data is stored securely, it won’t be given to anybody (except British Swimming to meet their meet regulations) and the official has the right to see what data is held about them and correct or delete it here.
